1. Acceptance of Terms
By accessing or using MealStack ("the Platform"), operated by Workfile Solutions ("we", "us", "our"), you agree to be bound by these Terms of Service. If you do not agree, you may not use the Platform.
2. Description of Service
MealStack is a nutrition practice management platform that provides tools for meal planning, client management, food database access, clinical charting, and related services. The Platform is designed for use by qualified nutrition and health professionals.
3. Professional Responsibility
You represent that you are a qualified nutrition or health professional, or are working under the direct supervision of one. You are solely responsible for the accuracy and appropriateness of any meal plans, dietary recommendations, or health advice you create or deliver using the Platform. MealStack is a tool that assists your professional practice; it does not replace your professional judgment.
4. Not Medical Advice
MealStack is not a medical device and does not provide medical advice, diagnosis, or treatment. The Platform is intended for informational and educational purposes to support nutrition professionals. Users and their clients should always consult qualified healthcare providers before making changes to diet or health regimens, especially in the presence of medical conditions, allergies, or medications.
5. Nutrition Data Disclaimer
The Platform's food nutrition database includes data sourced from publicly available food composition databases including, but not limited to, USDA FoodData Central (U.S. Department of Agriculture), IFCT (Indian Food Composition Tables, NIN Hyderabad), and INDB (Indian Nutrient Database, ICMR-NIN). While we strive to maintain accurate and up-to-date nutrition information, we do not guarantee the accuracy, completeness, or reliability of any nutrition data. Nutrient values may vary based on food preparation methods, regional variations, brand differences, and seasonal factors. You are responsible for verifying nutrition information before using it in client meal plans.
6. AI-Generated Content
The Platform may offer AI-powered features that generate meal suggestions, food recommendations, or other content. All AI-generated content is provided as drafts for your review. You must review, verify, and approve all AI-generated content before applying it to client plans. We do not guarantee the accuracy, safety, or appropriateness of AI-generated suggestions.
6A. AI Data Processing Terms
By enabling the AI Assistant in Settings, you consent to the following data processing:
- What data is sent: Anonymized client dietary data including age, gender, dietary preferences, nutritional targets, restrictions, allergies, and current meal plan structure. Food names and nutrient values from the platform database.
- What is never sent: Client names, email addresses, phone numbers, physical addresses, or any other personally identifiable information (PII).
- AI providers: We use OpenAI's API (via Vercel AI Gateway) for processing. Data is transmitted securely via encrypted connections.
- Data retention: Zero retention. AI providers process requests in real-time and do not store, log, or use your data for model training. This is enforced via API-mode access agreements with our providers.
- Credit system: AI operations consume credits from your monthly plan allowance. Free operations (suggestions, swaps) do not consume credits. Generation operations (meal plans, recipes) consume 1-2 credits each. Credits reset each billing cycle.
- Practitioner responsibility: You remain fully responsible for reviewing all AI-generated content before delivering it to clients. AI outputs may contain errors, inappropriate food combinations, or suggestions that conflict with a client's medical conditions.
- Right to withdraw: You may disable AI features at any time via Settings → AI. Disabling AI immediately stops all data processing. Your existing meal plans and client data are not affected. You may re-enable AI at any time by re-accepting these terms.
- Client disclosure: If you use AI features to generate or modify client meal plans, we recommend informing your clients that AI-assisted tools are used in their care. The intake form consent includes an AI disclosure when AI is enabled for your practice.
7. Client Data Responsibility
You are responsible for obtaining appropriate consent from your clients before entering their personal and health information into the Platform. You must comply with all applicable data protection laws, including the Digital Personal Data Protection Act, 2023 (DPDP Act) and the Information Technology Act, 2000. You are the data controller for your client data; MealStack acts as a data processor on your behalf.
8. Account & Security
You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You must notify us immediately of any unauthorized use of your account.
9. Limitation of Liability
To the maximum extent permitted by applicable law, MealStack and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or health outcomes, arising from your use of the Platform. Our total liability shall not exceed the amount you paid for the Platform in the twelve months preceding the claim.
10. Changes to Terms
We may update these Terms from time to time. When we make material changes, we will notify you through the Platform and require re-acceptance. Your continued use of the Platform after such changes constitutes acceptance of the updated Terms.
11. Governing Law
These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts in Bangalore, Karnataka, India.
