Moving a practice, without losing a week to it
The reason practices stay on software they have outgrown is not the software. It is the thought of retyping three hundred clients. You do not have to.
How it goes
- 1
Export what you have
Ask your current platform for your clients, measurements, plans and invoices. Most export a CSV, and your data is yours to take. Send us a sample first so we can tell you exactly what will land before you commit to a date.
- 2
Import the client list
Upload the CSV. MealStack maps the columns itself and shows you every one so you can correct it. You see what will be written, which rows it could not read, and who already exists, before a single client is created.
- 3
Rebuild what does not export
Templates, recipes, appointment types, availability, packages and your portal branding. Half an hour with us on a call, which doubles as your training.
- 4
Pilot ten clients
Not two hundred. Pick the ten who message you most, build a week for each, and keep your old platform running. Compare the two on your own caseload before you move anything else.
- 5
Move the rest in batches
Select a group of clients and invite them to the portal. Everyone with an email gets one; everyone else gets a WhatsApp message you send yourself, already written. Twenty-five at a time is a comfortable pace.
What comes across
- Clients, with phone, email, date of birth, gender and body measurements
- Medical conditions, allergies, medications and diet preference
- Your tags and your own notes per client
- Weight and measurement history, per client
What does not
- Chat history from your old platform
- App engagement history and streaks your clients have built
- Wearable history, if your old platform synced one
- Course or programme content you authored there
Better said now than discovered in week six. Your clients keep their plans, their diary and their history with you. What they lose is the chat thread, and most practices find that conversation is on WhatsApp anyway.
One piece of timing advice
If your current platform bills quarterly, start at the beginning of your last paid quarter. Running both for a few weeks then costs you nothing, and nobody has to make a decision under a deadline.
